Treasurer

Job Description

The Club Treasurer serves as the club’s Chief Financial Officer and is responsible for overseeing all financial operations, records, reporting, and funds of the club. The Treasurer ensures the club’s finances are managed responsibly, transparently, and in accordance with club bylaws, club policies, Board policies, and accepted accounting practices.

The Treasurer works closely with the Club President, Board of Directors, committee chairs, and financial institutions to maintain the financial health and integrity of the club.

Primary Responsibilities

Financial Management & Oversight

  • Oversee all club funds, bank accounts, and financial transactions.
  • Maintain custody and accurate accounting of all club financial records.
  • Deposit all club funds into bank accounts designated by the Board of Directors.
  • Monitor income, expenses, budgets, and account balances throughout the Rotary year.
  • Ensure proper financial controls and procedures are followed.

Financial Reporting

  • Attend all regular Board meetings and provide financial reports to the Board.
  • Present monthly financial statements including:
    • Profit & Loss Statement
    • Balance Sheet
    • Year-to-Date Financial Summary
    • Report on checks written and other account distributions since the previous Board meeting
  • Assist the Board in reviewing and approving monthly financial reports and expenditures.
  • Provide financial updates and reports to the membership as requested.

Accounts Payable & Reimbursements

  • Process and pay approved club expenses, invoices, and reimbursements.
  • Ensure all expenditures are authorized in advance by the appropriate director, committee chair, or Club President.
  • Maintain records and documentation for all payments and reimbursements.
  • Manage payments through approved methods including checks and club-authorized credit cards.

Banking & Financial Controls

  • Coordinate with the Board regarding authorized signers on club bank accounts.
  • Help establish and maintain financial safeguards and authorization procedures.
  • Maintain accurate records of checks, deposits, transfers, and other financial transactions.
  • Assist with budget preparation and financial planning.

Tax & Financial Compliance

  • Coordinate the annual financial review or audit by a certified public accountant or other qualified individual.
  • Assist with preparation and filing of required tax returns and financial documents.
  • Ensure compliance with applicable nonprofit and financial reporting requirements.
  • Maintain organized and secure financial records for future reference and continuity.

Leadership Transition & Record Retention

  • Assist in training and transitioning responsibilities to incoming Treasurers.
  • Upon completion of the term, transfer all funds, financial records, books, and club property to the successor Treasurer or Club President.
  • Supervise and oversee any duties delegated to an Assistant Treasurer while remaining ultimately responsible for all financial functions.

Collaboration & Club Support

  • Work closely with the Club President, Secretary, Foundation Chair, and committee chairs regarding budgets and financial planning.
  • Support fundraising activities, service projects, and club operations through sound financial management.
  • Provide financial guidance and recommendations to the Board of Directors when needed.

Goal of the Position

To ensure the responsible financial management, transparency, and long-term financial stability of the Niles Rotary Club of Fremont while supporting the club’s mission, service projects, fundraising activities, and overall operational success.
